We begin our professional relationships through a profile developed over our initial conversations by listening to your needs. We together review your goals and objectives and gather the necessary information behind the specific agenda and meeting needs to best present to potential venues.

We simplify your site selection process by presenting thorough research on preferred cities and properties in a detailed comparison spreadsheet.  We provide you with any necessary venue collateral that may assist in presenting to any additional decision-makers for final approval of site selection.

Conducting Site Inspections

We highly recommend site visits for any venue that may be conducted by you, our staff, your volunteers, or any combination thereof. We create a detailed agenda including VIP amenities whenever possible.  We provide the necessary tools for conducting effective site inspections such as: site inspection check list, site inspection rating sheet and a final report of all sites conducted. 

Negotiating Contracts

We offer a proven track record over the last decade that demonstrates our ability to successfully negotiate contracts. We preview all agreements on your behalf, saving you time and legal research.  We provide the inclusion of all pertinent contract clauses which protect you, maximizing your budget and mitigating loss. Our meeting consultants will provide you with a suitable document for your final review and approval.

In addition, we provide you with follow up information and contract consultations throughout the entire meeting process.  Whether you use our conference management services or simply need us for the site selection process, we assist you with any contract issues along the way.  You will receive friendly reminders of pertinent date related issues, such as upcoming deposit requirements, cut-off dates and review of room block reductions.  We also will provide you with periodic guestroom reports allowing you to see in advance if you are running into any potential attrition penalties.
